Van Gogh Designs requires a Warranty Administrator to be accountable for dealing with customer complaints, inquiries and understands his/her role is to provide a positive brand experience to all customers as well as has an expertise in office administration. This position also serves as a liaison between our customers and our production team. The Warranty Administrator will receive and investigate customer quality complaints to determine the cause and possible means of correction. The role will help identify and implement process and product improvements through customer recommendations to increase the efficiency, effectiveness, and quality of company operations.

Duties and Responsibilities:

  • Acknowledge all customer complaints promptly (within 1 business day) via phone or email.
  • Investigate and collaborate with other departments in order to find a claim resolution.
  • Coordinate and schedule any service technician appointments both locally and out of province.
  • Determine the most cost effective solution to any income claims while balancing both customer service and company expenditure.
  • Communicate with production team on incoming claims and customer feedback to ensure manufacturing standards are being maintained.
  • Weekly claims meeting detailing the claims received the previous week and a breakdown of cost per department.
  • Monitor office supplies inventory and place orders.
  • Monitor office expenditures and handle office contracts.
  • Schedule, attend and take meeting minutes.
  • Ensure all office related administrative duties are being performed efficiently and effectively, this includes but is not limited to- Order Entry, customer service (phone calls and emails) and custom quotes.
  • Schedule and coordinate any office events.
  • Perform other tasks as assigned.

Education & Experience Requirements:

  • Bachelor’s Degree or Post Graduation Diploma.
  • 1+ year of experience in all aspects of customer service and warranty administration.
  • Able to work well under pressure and high paced environment along with strong attention to details.
  • Able to deal with people sensitively, tactfully, diplomatically, and professionally at all times.
  • Demonstrated experience analyzing and resolving customer service and client issues.
  • Ability to analyze and interpret the needs of clients and offer the appropriate options, solutions, and resolutions required.
  • Must possess excellent communication skills for liaising and communicating with vendors, customers, and internal departments.
  • Exceptional conflict resolution, negotiation, and objection handling skills.
  • Excellent knowledge of Microsoft 360.
  • Strong work ethics and positive team attitude.
